Position Summary:

The Workforce Planning Specialist works to support all lines of business by managing the Applicant Tracking System (ATS) and various job boards and social sites. The role will regularly provide guidance to recruiters, maintain automated and manual reports, and monitor the ATS workflow. This position will work and partner with Talent Acquisitions, HR Operations, HR Business Partners, Hiring Managers, Legal, and HR Analytics by assisting with their ATS needs, questions, or concerns.

Essential Job Duties and Responsibilities:
  • Support the talent acquisition department with any questions regarding system access, issues, process, and procedural questions. Support all lines of business (LOB) pertaining to the ATS – Hiring Manager access, issues, process, and procedural questions if needed.
  • Support the HR Operational department with theWorkday Onboarding module, in addition to our integrations with HireRight (Background). Support Legal with any candidate documentation needed from FreedomHire for any pending legal cases. Support internal candidates with any functional issues with FreedomHire.
  • Maintain automated and manual reports that are distributed to HR Business Partners (HRBPs), Talent Acquisition, and LOB leadership.
  • Communication with Talent Acquisition leadership during spot audits to make sure candidates are being processed properly through the ATS workflow.
  • Conduct ATS training for all of Talent Acquisition and anyone that may need access to the system. Manage security to both activate and deactivate access to FreedomHire.
  • Work closely with the Workday vendor on any enhancements or changes we need assistance with in the system. Also monitor integrations with vendor Maximus.
  • Continuously work on a variety of projects in conjunction with the talent acquisition department, HR Operations, and IT.
  • Maintain Open Requisition Reporting and collate reports for Temp hires and requisitions.
  • Administrator for our Indeed and LinkedIn accounts. Maintain our vendor Job target (OFCCP) account management. Manage and work with account reps.
  • Maintain regular and punctual attendance. Comply with all company policies and procedures.
  • Continuously support HR on helping streamline tools, processes, and procedures from candidate submittal to onboarding.
  • Run job board usage reports as needed. Add and remove access to job boards and social sites as needed.
  • Maintain a variety of reports in conjunction with the HR Analytics department.


  • Bachelors Degree required.
  • Experience with the ATS (applicant tracking system) Workday required
  • Strong knowledge of Microsoft Office, especially Excel
  • Experience acting as Administrator for job boards such as Linkedin and/or Indeed preferred
  • Strong Communication skills
