The Human Resources Onboarding Specialist (HR Shared Services Admin) is responsible for serving as a primary Human Resources (HR) point-of-contact for incoming new employees. This position provides quality support services to clientele with a high degree of customer satisfaction, expertise, and timeliness in a fast-paced environment. 


Essential Job Functions:

  • Responsible for connecting each new hire to the next phase of the onboarding process
  • Assist in handling onboarding escalations
  • Point-of-contact for employee and the business
  • Tracks equipment deliveries to Remote employees
  • Completes reach out process for all new hires before their start state
  • Coordinates and facilitates new hire orientation to ensure new hires have attended remote orientation
  • Reports employee status updates to the business
  • Serves as weekend contact on a rotational schedule
  • Ensures I-9’s is completed according to State and Federal compliance laws and regulations.
  • Coordinates and facilitates new hire orientation to ensure appropriate paperwork is completed
  • Reports employee status updates to the business
  • Creation and distribution of new hire welcome communication
  • Supports the Onboarding Manager in various duties

Additional duties

  • Supports initiatives and special HR projects as assigned to support the strategic and organizational needs of the Shared Business Service.
  • Maintains the HR shared email and fax mailboxes daily.
  • Maintains various logs which assist in providing accurate information for reporting purposes.
  • Provides ad-hoc reports as needed

Education and/or Experience:

  • Associate's degree (A. A.) or equivalent from two-year College or Technical School; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Experience Preferred: Onboarding, Customer Service, HR Systems, and I-9’s
  • Proficient in Microsoft Excel
  • Education: Bachelor’s degree preferred


Language Skills:

Ability to read and comprehend instructions, correspondence, memos, and work place policies. Ability to analyze, interpret general business periodicals, professional journals, procedures and governmental regulations. Ability to write professional correspondences. Ability to write routine business reports. Ability to speak effectively with other employees and/or customers. Ability to present formal information in one-on-one and small group situations to customers and employees. Ability to present information and respond to questions from groups of administrators, managers, employees, customers and/or the general public.

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ration, and percent and design and interpret charts and graphs to communicate business issues.

Reasoning Ability:

Ability to carry out detailed written and/or verbal instructions. Ability to solve problems involving concrete variables in standardized situations. Ability to define problems, collect data, establish facts, and draw valid conclusions.
